Administrative Support Assistant 4 (Coordinator for Alumni, Development and Advancement)

Reports directly to the Department Head of Engineering Science and Mechanics (ESM) and cross-trains and works collaboratively with the Administrative Support Assistant 4 (Department Head Assistant). In collaboration with the College of Engineering (COE) Engineering College Relations Office, is responsible for coordinating development, alumni relations, alumni events, and corporate and foundation relations for the ESM Department. Interacts directly with the COE Director of Major Gifts assigned to the ESM Department in coordinating the Department Head’s correspondence, communications, travel, stewardship activities, solicitation of and gift acknowledgements to donors.

Coordinates the ESM campaign initiatives, as they arise. Organizes meetings and coordinates activities for the Engineering Science and Mechanics Industrial, Professional and Advisory Council (IPAC), the Penn State Engineering Science and Mechanics Alumni Society (PSESMAS) and its subcommittees, the ESM Outstanding Alumnus Award, the ESM Golden Decade Alumni Reunion, the ESM Young Alumnus Award, ESM Career Fairs, ESM Tailgates, ESM alumni visits to campus and seminars, and University level alumni awards (when appropriate).

Coordinates with the COE Communications Department to provide ESM department information for COE communication materials. Updates the ESM Development Plan and prepares an annual ESM Development Report. Backs up the Administrative Support Assistant 4 in providing administrative, academic and professional support to the Department Head and processing ESM scholarship awards. Plans, prioritizes and manages daily office activities, evaluates and determines priorities of requests to Department Head, and maintains confidentiality of sensitive issues, as needed.

Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Development experience is highly desirable. Excellent judgment, writing, verbal communication, organizational, proofreading, editing and interpersonal skills are necessary. Must be able to work independently, take initiative and use discretion in all matters.

Excellent Web skills, Microsoft Office skills (including Word, PowerPoint, Excel), Adobe Acrobat, InDesign (or equivalent) strongly preferred. Penn State Office Professional Certificate, Travel Services, Employee Reimbursement System, AWA Database and E-Steward highly desired.
